Data handling
How client files reach us, how they are worked on, how long they are kept and when they are deleted.
01Where the work happens
In India, by AANYA TECHNOLOGIES, on local disk on the machine doing the work. Files are not placed in a shared cloud drive, and not copied anywhere else for convenience.
02How files reach us
By a share link from your own storage (view-only, and expiring where your tool allows it), or as email attachments. Email is not end-to-end encrypted, and we would rather say so.
Or we work inside your own system, with access scoped to the job and revocable by you.
We never ask for the passwords to your systems.
03Who can access them
Only the person doing the work. Your files are not shown or passed to anyone else.
04Sensitive data
Patient-identifiable or similarly sensitive data is not opened until a signed agreement covers it. If it arrives without one, we delete it unopened and tell you.
05How long they are kept
Your files and our working copies are deleted within 30 days of delivery and close-out, sooner if you ask. The emails that carried the files are deleted with them.
Correspondence about the job (the scope, your acceptance, the delivery note and the invoice) is kept as a business record, for eight years for Indian tax purposes. It describes the work; it does not reproduce your data.
06Your client
On white-label work the client relationship is yours. We do not contact your client, and we do not approach them afterwards.
07What we do not do with files
No examples, marketing or publication. Every example on this site is invented. Nothing is sold or shared.
08Credentials
Only ones you issue, scoped to the job, read-only where possible, and surrendered at the end.
09If something goes wrong
If files we hold were lost or exposed, we tell you promptly, with what we know, before we have certainty, so you can meet your own obligations to your client.
10Confidentiality agreements
We sign your NDA or data-processing agreement.
